SharePoint Portal Server Sends Subscription Notifications Even Though the Contents of Exchange Public Folders Do Not Change

SYMPTOMS

When you configure SharePoint Portal Server to index the public folder store of a Microsoft Exchange 2000 Server computer, SharePoint Portal Server may incorrectly send subscription notification messages to users to notify them that items in the public folder have changed, even though no changes occurred.

CAUSE

This problem occurs because when the Exchange 2000 computer comes online after it has been offline (unavailable), SharePoint Portal Server incorrectly processes the last modified date of public folder items. As a result, the contents of the public folders are indexed, and subscription notifications are generated. For example, this problem may occur when you stop and restart the Microsoft Exchange Information Store service, or when you shut down and restart the Exchange 2000 computer.

RESOLUTION

This problem was first fixed in a hotfix that is now contained in a service pack. If you have installed SharePoint Portal Server 2001 Service Pack 3 or a later service pack, you do not have to apply the hotfix.

Service pack information

This problem was first corrected in SharePoint Portal Server 2001 Service Pack 3.

To resolve this problem, obtain the latest service pack for Microsoft SharePoint Portal Server 2001.

Hotfix information

A supported fix is now available from Microsoft, but it is only intended to correct the problem that is described in this article. Apply it only to computers that are experiencing this specific problem. This fix may receive additional testing. Therefore, if you are not severely affected by this problem, Microsoft recommends that you wait for the next SharePoint Portal Server 2001 service pack that contains this hotfix.

To resolve this problem immediately, contact Microsoft Product Support Services to obtain the fix.

NOTE: The English version of this fix has the file attributes (or later) that are listed in the following table. The dates and times for these files are listed in coordinated universal time (UTC). When you view the file information, it is converted to local time. To find the difference between UTC and local time, use the Time Zone tab in the Date and Time tool in Control Panel.

Date Time Version Size File name --------------------------------------------------------- 28-Mar-2003 10:00 10.145.6011.13 249,856 Pkmexsph.dll

Note Because of file dependencies, this update requires Microsoft SharePoint Portal Server 2001 Service Pack 2 (SP2).

WORKAROUND

To work around this problem in situations where you must stop Exchange 2000-related services, or shut down and restart the Exchange 2000 Server computer to perform scheduled maintenance or operating system configuration tasks, use the following method that is appropriate to your situation:

Stop the Microsoft Search service before you take the Exchange 2000 computer offline. To stop the Microsoft Search service:

1.

Click Start, and then click Run.

2.

In the Open box, type cmd, and then click OK.

3.

At the command prompt, type net stop mssearch, and then press ENTER.

4.

Type exit, and then press ENTER to quit the command prompt.

Do not schedule updates to the index of the Exchange public folders store to occur when the Exchange 2000 computer is offline.

STATUS

Microsoft has confirmed that this is a problem in Microsoft SharePoint Portal Server 2001.
This problem was first corrected in SharePoint Portal Server 2001 Service Pack 3.
